Terms & Conditions: Hoppin Busan 2025 Workation Program

Organizer: Hoppers Inc. ("Hoppers")

These Terms & Conditions govern participation in the Hoppin Busan Workation Program 2025. By submitting an application and joining any portion of the program, attendees acknowledge and agree to all terms outlined below.
This program is operated by Hoppers Inc. and is partially supported by Busan City’s Workation initiative.

1. Event Overview

1.1 Program Period

Dates: August 18 to October 24, 2025
Participants may book multiple workation programs with accommodation or event-only options, subject to availability.
Participants may also join 1-week options (with or without accommodation), subject to availability.
Bookings are non-transferable without prior written consent from Hoppers.

1.1.1 Workation Programs

Choose the vibe that fits your journey:
Summer Workation (Aug 18 – Sep 1, 2025)
Kick off the season at Korea’s top summer destination. Stay near the beach, try surfing, paddle boarding, and volleyball, and enjoy a social and active vibe. Ideal for first-timers and returning.
Asia Nomads Workation (Sep 1 – Sep 15, 2025)
A cross-cultural exchange with guests from Japan and Taiwan. Participate in the Digital Nomad Alliance Event and international networking sessions. Great for expanding your Asia network or planning regional travel.
Startup & Film Workation (Sep 15 – Sep 29, 2025)
Where tech meets creativity. Join FlyAsia & BOUNCE (pitching opportunities available) and attend the Busan International Film Festival (BIFF). Perfect for founders, creators, and entrepreneurs.
Korean Language Workation (Oct 10 – Oct 24, 2025)
Dive into Korean daily life with immersive language practice. Includes K-pop dance, cooking classes, and language exchanges. Designed for slowmads and Korea lovers.
Comprises four themed workation sessions, each lasting two weeks

1.2 Location

The program will be held in Busan, South Korea.
The program includes designated accommodation and coworking facilities as outlined below.
Participants are expected to reside and work from the assigned locations during the program period, unless otherwise authorized by the organizers.
The program is conducted mainly in English. Participants should have sufficient English ability to follow instructions, attend events, and communicate with the community.
Some activities occur at third-party venues (hotels, coworking spaces, tours). Participants agree to comply with those venues’ rules and policies.

1.3 Program Inclusions

Private accommodation in a residential hotel located in Nampo-dong, with two room types available:
Studio Type: Compact private unit with a double bed, private bathroom, and desk area.
Suite Type: Larger unit with a bedroom, bathroom, and a small lounge area.
All rooms are within the same building, fostering an integrated living environment.
Access to a community lounge at Cotice The Bridge Hotel (3F), available daily from 14:00 to 23:59.
Welcome event (group dinner at the start of the program).
Merchandise / Welcome Kit.
Weekend excursions, with optional paid add-ons in addition to included trips.
Skill-sharing and curated networking sessions led by participants or guest speakers.
Access to designated premium coworking spaces across Busan, including the main venue: Busan Workation Center with panoramic city views
Rotating access to sub-coworking spaces and laptop-friendly cafes during planned excursions.
Participation in local activities and cultural experiences aligned with program themes.
Weekly networking events and opportunities to connect with local professionals and fellow digital nomads.
On-site support and community engagement facilitated by local community managers and Hoppers staff.
Note: The above inclusions (private accommodation, guided excursions, networking events, and on-site support) are part of the full accommodation-included workation package. Participants joining additional workation programs without accommodation may have limited access to certain benefits and events, and should refer to specific event guidelines for details.

1.4 Not Included

International or domestic travel to Busan
Local transportation such as public transit, taxis, or personal travel within the city
Meals and daily expenses unless expressly provided during program events
Travel insurance and visa processing
Optional paid excursions or cultural activities (e.g., special tours, shows, premium experiences)
Visa fees, SIM/phone charges, and separate tickets for external events or festivals (e.g., BIFF, FlyAsia), unless specified as included

1.5 Special Programs

Hoppers also hosts special programs during the workation period, such as the Asia Workation Alliance Forum (invite-only, Sep 4, 2025) and Startup Innovation Week (Sep 21–28, 2025, aligned with FlyAsia). Access may be limited to certain cohorts or require separate registration.
Access to invite-only or capacity-limited events is not guaranteed and may require separate registration/ID checks by the event organizer.

All payments are processed in KRW. EUR prices are approximate references only. Prices include applicable VAT, but exclude booking/platform fees and FX/issuer charges.
Room Options: Choose between a Studio Type room and a Suite Type room. Refer to the provided pictures above for more details on each option.
Shared Room Option: Each room may accommodate up to 2 people. Participants are fully responsible for finding their own roommate in advance.
Hoppers does not offer roommate matching services.
Only one participant needs to book and pay for the room through the ticketing system.
However, both individuals must submit the eligibility screening form and be approved by the Hoppers team before check-in.
If either person is not eligible, the booking may be canceled or adjusted, and additional fees may apply.

2.2 Shared Room Option

A shared room may be booked for two people maximum.
Only one person is required to book and pay for the room.
Both individuals must submit the initial eligibility screening form and receive approval prior to check-in.
Hoppers does not assign or match roommates. Participants must confirm their shared booking with a pre-selected roommate.
If a second guest does not meet the eligibility criteria or fails to submit the form, the booking may be changed to single occupancy, and additional charges may apply.
Shared Room Etiquette
Participants must respect shared space by minimizing noise and maintaining cleanliness.
Overnight guests are not permitted.
If conflict arises, Hoppers staff may reassign or separate participants at their discretion (additional fees may apply).
Repeated complaints may result in room changes or removal without refund.

2.3 Additional Costs

All prices include VAT but exclude booking/platform and international transaction/FX charges.
Additional upgrades, extended stays, or extra services may incur further fees
Payment is due in full at booking. If a payment is reversed, disputed, or charged back, Hoppers may cancel the booking and recover any costs/fees from the participant.
Hoppers or the accommodation provider may pre-authorize a security amount; fees for lost keys, excessive cleaning, or damages may be charged to the card on file.

2.4 Additional Workation Discount

After booking and completing payment for their first workation package (with accommodation), participants are eligible for a 20% discount on any additional workation(s) they purchase during the program period.
The discount applies to both accommodation-included and event-only packages, subject to availability.
Discounts cannot be combined with other promotions unless explicitly stated.

Note: Most discount codes cannot be combined or used together. However, certain codes may be eligible for use during the Early Bird period. Partner discounts (e.g., Hoppers-operated Seoul coliving/coworking offerings, Colive Fukuoka) may be provided. These are time-limited, subject to partner conditions, and not guaranteed. They are not transferable or refundable.
The organizers may issue discount codes or promotional offers at their sole discretion. These may be:

Subject to modification or cancellation without prior notice
Promotional offers are discretionary and may be modified or withdrawn without notice; no cash value.
Hoppers reserves the right to modify, suspend, or deactivate any discount code at any time, without the obligation to notify users individually.

4. Eligibility Requirements

4.1 Who Can Apply

Must be a remote worker, freelancer, or entrepreneur not employed by a Korean company.
Should demonstrate active engagement in professional or income-generating work.
Both Korea-based and international professionals may apply, provided eligibility criteria are met.

4.2 Required Documentation

To verify eligibility, applicants must provide at least one of the following documents:
A valid LinkedIn profile URL
A business card or name card
A signed freelance or employment contract
A business registration certificate (for entrepreneurs or self-employed individuals)
All information and documents provided must be true, complete, and accurate. Hoppers may cancel a booking for false or misleading submissions without refund.
Important Notes:
Hoppers reserves the right to reject applications that do not sufficiently demonstrate professional eligibility.
A valid photo ID or passport may be requested at any time for identity verification or participant safety.
For shared room bookings, both participants must:
Individually submit the eligibility screening form
Be approved by Hoppers staff prior to check-in
If one roommate fails to meet the eligibility requirements, the booking may be adjusted or canceled, and additional charges may apply.

5. Participant Responsibilities

5.1 Coworking Attendance

Participants must visit coworking spaces at least three times per week during the program.
Attendees are expected to adhere to coworking etiquette including:
Keeping shared areas clean and organized
Using headphones during calls or video meetings
Respecting quiet zones and other participants' work
Limiting non-work-related conversations in shared spaces
Participants must join the official Discord server for communication. Community guidelines (no spam, respect in DMs, etc.) apply. Non-participation in communication platforms may result in missed updates, for which Hoppers is not responsible.
Coworking spaces are accessible during standard business hours unless otherwise stated. Some lounges may remain open late for night workers.
Certain coworking spaces may require check-in or badge access via the Program Pass.
Please respect all signage and staff instructions at coworking venues. Repeated disruption may lead to access limitations or program dismissal.
Attendance may be verified for reporting and program compliance.
Illegal drugs, hazardous items, and weapons are prohibited. Excessive intoxication that disrupts others may result in removal without refund.
Participants must comply with Korean law, venue rules, and lawful instructions from staff.

5.1.1 Coworking Space Etiquette

To keep workspaces productive and respectful, the following rules apply at all partner venues and lounges:
Calls, Noise & Phone Both Use headphones at all times. Hold calls only in designated phone booths. Keep volumes low and avoid speakerphone. If a space is marked quiet/focus, no calls. Noise complaints are taken seriously; remember this is a shared coworking space with others working nearby.
Hot Desk “Clean Desk” Do not reserve seats by leaving belongings unattended. If you leave a desk for an extended period, clear the surface so others may use it. Hoppers/venue staff may relocate unattended items to lost & found.
Meeting Rooms Meeting rooms must be reserved in advance at the reception. Start/stop on time and leave the room tidy; remove all personal items.
Cleanliness & Food Throw all trash away immediately after usage. Keep areas clean and wipe spills. Strong-smelling foods should be consumed outside shared work zones if requested by staff.
Recycling Follow local recycling etiquette:
Empty all liquids into the sink, toilet, or kitchen drain before disposing of cups/bottles.
Sort trash correctly: plastic, paper, cans, glass, food waste, general waste.
Do not leave unwashed containers or mixed trash. Staff may ask you to correct disposal if done improperly.
Security & Access Access passes are personal; do not share or allow tailgating. Guests require prior approval and may be refused entry or charged day-pass fees by the venue.
Privacy & Recording Do not photograph or record others without consent. Protect confidential information (use privacy screens where appropriate).
Power & Equipment Use venue-approved outlets/adaptors only. No daisy-chaining power strips; do not unplug venue hardware or network gear. Personal printers or large peripherals may be restricted.
Safety Keep aisles and exits clear; route cables safely. Follow venue safety guidance and report hazards immediately.
Bandwidth & Fair Use No illegal downloads or abusive bandwidth use. Coordinate heavy uploads/streams during non-peak hours if requested.
Animals Pets are not permitted unless explicitly allowed by the venue. Service animals are accommodated per applicable law.
Hours & Capacity Respect posted opening hours and capacity limits. On peak days, Hoppers may cap access or stagger usage to ensure availability.
Enforcement Breaches of etiquette may result in warnings, temporary suspension of access, or removal from specific venues or the program without refund, at Hoppers’ discretion.

5.1.2 Space Access, Booking & Check-In

The following rules apply to access and usage of partner coworking spaces:
A) Booking Requirements
The Hyuil × Desker (Yeongdo)Booking required 24 hours in advance.
No booking = no access. Venue staff may deny entry if your name is not on the day’s booking list.
Busan Workation Center (Asti Hotel, 24F)No advance booking required.
Cotice the Bridge – Community Lounge (3F)No advance booking required.
B) Mandatory Check-In on Arrival (for spaces other than Cotice Community Lounge)
All participants must check-in as soon as they arrive at each space using the official links below. Failure to check-in may be treated as non-attendance for program compliance.
C) No Proxy / False Check-Ins
Participants may not check-in for another person or otherwise falsify attendance. If a proxy or false check-in is detected, Hoppers may issue warnings, suspend venue access, void attendance credit, and/or remove the participant from the program without refund (per Enforcement in Section 5.1.1). Repeated or egregious violations may lead to program dismissal.
D) Enforcement & Venue Discretion
Venues may deny entry for missing bookings, capacity limits, or safety reasons. Hoppers may cap daily access or stagger usage on peak days to ensure availability.

5.2 Feedback & Survey

Participants are expected to complete a post-program feedback form.
Testimonials (written, photo, or video) may be requested for future promotion.

5.3 Platform & Communication

All participants must join the official Discord server for updates and coordination.
Participants are responsible for monitoring official announcements (email/Discord). Failure to monitor communications may result in missed updates for which Hoppers is not responsible.

6. Media Consent

By attending program, participants grant Hoppers permission to:
Take photographs and videos during events and activities
Use participant likeness and testimonials for marketing and publicity across platforms
Repurpose content in digital or print formats (e.g., website, social media, brochures)
Participants who do not wish to appear in close-ups should inform staff and avoid camera focus areas when indicated. Crowd shots cannot be excluded.
Participants grant Hoppers a worldwide, perpetual, royalty-free license to use, reproduce, edit, and publish such media in any format for marketing and editorial purposes.
Participants waive the right to inspect or approve media prior to publication and agree that no compensation will be provided for promotional use.

7. Cancellation & Refund Policy

7.1 Organizer Cancellation

In the event of cancellation initiated by Hoppers, a full (100%) refund will be issued, regardless of payment method or date of purchase.
Hoppers is not responsible for third-party costs (e.g., flights, visas, insurance, bank fees).

7.2 Participant Cancellation

7.2.1 General Policy

Within 24 hours of payment: A full (100%) refund is available upon written request.
Refunds will be processed within 7–10 business days, although delays may occur depending on the payment platform used.
Transaction and platform fees are non-refundable.

7.2.2 Workation-Specific Cancellation Deadlines

Participants may be eligible for a 50% refund if cancellation is requested at least 14 days (2 weeks) before the program start date.
No refunds will be issued for cancellations made less than 14 days before the start date.

Less than 14 days before the program start: No refund will be issued, regardless of reason.
Refunds will be processed within 7–10 business days. Transaction and platform fees are non-refundable.
1-week packages and Event-Only packages follow the same refund deadlines.
Participants are strongly encouraged to notify the team early if cancellation is necessary.
No-shows, late arrivals, and early departures are non-refundable.
Visa denials are treated as participant cancellations.

7.3 Additional Notes

Participants may book multiple workation programs with or without accommodation during the program period, subject to availability.
After booking and completing payment for their first workation package (whether accommodation-included or event-only), participants are eligible for a 20% discount on any additional workation(s) they purchase during the program period.
The discount applies to both accommodation-included and event-only packages, subject to availability.
It is possible for one person to book on behalf of two participants, but all eligibility conditions must be met for each individual.
Discounts cannot be combined with other promotions unless explicitly stated.
Discounts do not apply retroactively to bookings already paid.
Refund and cancellation policies (Section 7.2) apply equally to discounted bookings.

7.4 Force Majeure

Events beyond Hoppers’ reasonable control (e.g., severe weather, disasters, epidemics/pandemics, government restrictions, strikes, venue closure, civil unrest) may require changes, postponement, or cancellation. Hoppers may provide date changes, program credits, or partial credits at its discretion. Cash refunds are not guaranteed for force majeure events.

8. Limitation of Liability

Hoppers shall not be held liable for:
Injury, illness, or death during the program
Loss, theft, or damage to personal property
Travel delays, cancellations, or visa issues
Disruptions caused by weather, political events, natural disasters, or pandemics

8.1 Additional Notes

Travel, health, and liability insurance are not included and are strongly recommended; proof of insurance may be requested.
To the maximum extent permitted by law, Hoppers’ total liability is limited to the amount of program fees paid by the participant to Hoppers, and excludes indirect, incidental, special, exemplary, or consequential damages, including loss of profits or opportunities.
Visa, entry, and travel planning remain the full responsibility of the participant. Hoppers Inc. does not provide visa sponsorship or immigration consultation. Please verify your visa requirements in advance.

9. Indemnity Clause

Participants agree to indemnify and hold harmless Hoppers Inc., its affiliates, and partners from any claims or damages arising from:
Breach of any terms
False representation of personal or professional information
Harm caused to others or to property

9.1 Additional Notes

Check-in/Check-out: Times provided in pre-arrival guide; late check-out may incur fees.
Visitors: No overnight visitors; daytime visitors only with prior consent.
Smoking/Pets: No indoor smoking; pets not permitted unless expressly allowed.
Noise/Quiet Hours: Follow posted quiet-hour rules.
Cleaning/Linens: Frequency posted; extra services may incur fees.
Maintenance Access: Staff may enter for safety/maintenance with prior notice where practicable.
Damages/Loss: Participants are responsible for damages, missing items, lost keys, or excessive cleaning; charges may be applied to the payment method on file.
Joint responsibility (shared rooms): Roommates may be held jointly responsible for damages in shared spaces unless responsibility is clearly attributable.

10. Dispute Resolution

Any disagreements related to these Terms & Conditions will:
First be mediated in good faith between the parties
If unresolved, be submitted to arbitration under the Korean Commercial Arbitration Board (KCAB) in Seoul, South Korea
Be governed by South Korean law, with English as the official arbitration language

11. Code of Conduct

Hoppers is committed to creating a respectful, inclusive, and safe environment for all participants. Attendees are expected to:
Refrain from harassment, discrimination, or any form of verbal or physical misconduct
Respect cultural differences, personal boundaries, and privacy
Comply with all local laws, regulations, and program venue rules

Examples of Unacceptable Behavior:

Offensive verbal comments related to gender, sexual orientation, disability, physical appearance, race, or religion
Inappropriate physical contact or unwelcome sexual attention
Intimidation, stalking, or sustained disruption of sessions or group activities
Intoxication that disrupts others or results in unsafe conduct

Procedure for Violations:

Incidents can be reported confidentially to Hoppers staff or community managers
Hoppers will investigate all reports and take appropriate action, which may include:
Verbal or written warnings
Temporary suspension from specific events or access to communal spaces
Permanent removal from the program without refund
The decision to remove a participant will be made at the discretion of Hoppers staff, based on the severity and frequency of the violation.
In severe cases, immediate removal without prior warning may occur if participant behavior endangers others or significantly disrupts the program environment.
Refrain from harassment, discrimination, or inappropriate conduct
Respect cultural differences, privacy, and boundaries
Abide by Korean laws, venue rules, and program guidelines
Any violation may lead to immediate removal without refund or recourse.

12. Risk Acknowledgement: Recreational Activities

Activities such as hiking, surfing, or cultural outings may involve risk. By participating, attendees:
Confirm they are in suitable physical condition
Accept full responsibility for their safety and well-being
Release Hoppers from liability for any injury or accident incurred

13. Emergency Protocols

In case of emergency, participants should:
Call 112 (for police, fire, and medical emergencies)
Keep a charged mobile phone on hand
Follow instructions from local staff and emergency responders
Additional safety measures include:
Hoppers staff will provide a local emergency contact number during onboarding
A list of nearby medical facilities, pharmacies, and urgent care clinics will be shared at check-in
Community managers are trained to assist with emergencies and can accompany participants to nearby clinics if needed
Certain activities (e.g., water sports, hikes) are optional and may be subject to separate waivers or third-party terms.

14. Data Privacy & Use

By submitting an application, participants agree that Hoppers Inc. may collect and process personal information (e.g., name, email, LinkedIn, contracts, payment info) solely for the purpose of confirming eligibility, processing bookings, and coordinating program logistics.
We do not sell or share your personal data with third parties except where required for operations (e.g., hotel bookings).
Data is stored securely and access is limited to authorized team members.
Participants may request data removal or review by emailing hoppinbusan@hoppers.kr.
For EU residents, we aim to comply with GDPR principles regarding consent, access, and erasure.
Personal data is processed on the basis of contract performance and legitimate interests and retained only as long as necessary for legal and operational purposes.
Data may be shared with service providers (e.g., payment/ticketing, accommodation) strictly to operate the program.

16. Application Process

Applications are reviewed within 5 working days. Acceptance is first-come, first-served until capacity is reached. Capacity is limited and spots may fill before the deadline.
Hoppers may decline or revoke participation if requirements are not met, documentation is incomplete, or behavior indicates potential risk to the community.

17. Miscellaneous

Entire Agreement: These Terms constitute the entire agreement between the parties regarding the program and supersede prior statements.
Severability: If any provision is held invalid, the remaining provisions remain in effect.
No Waiver: Failure to enforce a provision does not constitute a waiver.
Assignment: Hoppers may assign or subcontract its rights/obligations; participants may not assign their booking without consent.
Language: These Terms are prepared in English; English prevails in case of inconsistency.

18. Organizers

The program is organized and operated by Hoppers Inc. and supported by Busan City’s Workation Initiative.
By registering and participating in the program, attendees acknowledge that they have read, understood, and agreed to abide by these Terms & Conditions in full.
